About TasTrack

6 questions

What is TasTrack?#

TasTrack is an AI task manager that automatically extracts tasks, events, contacts, deadlines, commitments, and follow-ups from connected emails, messages, meetings, and calendars. It brings everything into one workspace and keeps each task updated as related conversations change across different sources.

How does TasTrack work?#

After you connect the email, messaging, meeting, and calendar accounts you want to use, TasTrack scans the permitted content and extracts actionable information. It creates tasks and updates them when new information appears, while keeping each task linked to its original source. You can review and correct every result.

Who is TasTrack designed for?#

TasTrack is designed for individuals, professionals, sales teams, account managers, customer service teams, recruiters, managers, and organizations whose work frequently arrives through email, messaging, meetings, and calendars.

What problem does TasTrack solve?#

Important work is often buried inside conversations and is easily forgotten after the message has been read. TasTrack converts actionable information into tasks, connects later updates to the same responsibility, and keeps the work visible until it is completed.

How is TasTrack different from a traditional task management application?#

Traditional task management applications usually depend on manual entry and manual updates. TasTrack automatically extracts tasks from connected sources, connects related updates across channels, adjusts priorities and deadlines, monitors follow-ups, and detects likely completion. Manual task creation remains available.

Task Capture and Organization

13 questions

How does TasTrack decide what becomes a task?#

TasTrack analyzes permitted content for requests, commitments, deadlines, decisions, follow-ups, and other actionable information. A filtering stage separates likely action items from general conversation so that every message does not become a task. When TasTrack finds actionable information, it creates a task and links it to the original source.

What happens when an email contains multiple tasks?#

TasTrack can extract several to-dos from the same email or conversation and show the number of actions within the task. You can keep the actions together or split them into separate tasks while retaining the relevant source and context for each one.

How does TasTrack track the same task from different sources?#

TasTrack compares the linked contact, task meaning, subject matter, deadlines, and conversation context across connected emails, messages, meetings, and calendars. For this to work reliably, you must update the contact in TasTrack with that person's details for every connected source, such as their email addresses, phone numbers, and messaging identities, so TasTrack can recognize that the activity belongs to the same contact. When new information relates to an existing responsibility, TasTrack links it to the same task and updates its due date, priority, status, follow-up information, and source history instead of creating a duplicate. If the source details are not linked to the contact, TasTrack may treat the activity as a separate contact or task.

Can I see where a task came from?#

Yes. Automatically extracted tasks can retain a link to the original email, message, meeting, or other connected source. You can use Preview Source to inspect the relevant conversation when the source remains available through the connected provider.

Can I create a task manually?#

Yes. You can create a task directly in TasTrack by entering the task and its details. You can also use the AI chatbot, Siri, or Google Assistant to create a task using natural language.

Can I edit an existing task?#

Yes. You can edit a task's title, contacts, due date, reminder, priority, Work or Personal classification, and status. You can also split, merge, reopen, or delete a task when needed. Changes made in TasTrack do not change the original email, message, or meeting source.

Can TasTrack extract contacts from an email signature?#

Yes. TasTrack can detect the sender's signature in a supported email and extract the contact details that are present, such as name, email address, phone number, company, designation, website, and location. It can create a new contact or enrich an existing one.

Can I set a reminder for any task?#

Yes. A task reminder is separate from the task deadline. You can choose a specific date and time or set a relative reminder, such as one day before the deadline. A relative reminder adjusts when the deadline changes, and closing the task cancels pending reminders.

How can I view tips for a task?#

Task cards can be swiped to reveal additional information and actions. Swipe a task card from left to right to open a small panel containing tips specific to that task. A tip may recommend adding a missing due date, entering an estimated completion time, locking the priority, or splitting multiple to-dos into separate tasks.

How can I use the AI chatbot?#

You can describe a task in natural language and ask the chatbot to create it. You can also search for past tasks by describing the task, contact, topic, or other details you remember. Review the result before relying on important dates or task information.

03

Priorities Deadlines and Scheduling

7 questions

How does TasTrack decide a task's priority?#

TasTrack considers available signals such as the due date, urgency of the language, follow-up activity, recent thread volume, contact importance, how long the task has remained unresolved, its source, and whether a relevant reply is still waiting or unsent.

How does a task's priority change automatically?#

TasTrack recalculates priority when connected information changes. A new deadline, urgent follow-up, important contact, repeated activity, or unsent reply may raise a task's priority. A change showing that another person owns the next action may reduce it.

Can I lock and unlock a task's priority?#

Yes. You can lock a task at the priority you choose so automatic reprioritization does not change it. Unlocking the priority allows TasTrack to resume updating it when new signals arrive.

How does the due date change automatically?#

When a connected email, message, meeting, or other supported source provides a newer or clearer deadline for the same task, TasTrack updates the due date automatically. You can correct the date if the new information was interpreted incorrectly. Relative reminders adjust to the updated deadline.

How does Smart Schedule work?#

Smart Schedule places task blocks into available time in the TasTrack calendar overlay. It considers calendar availability, task priority, deadline, estimated duration, working hours, and relevant scheduling preferences. You can move or change any suggested block. Automatically created task blocks do not synchronize back to an external calendar.

How do location reminders work?#

You can attach a location to a task. With the required device permission enabled, TasTrack sends a notification when you are within approximately 500 metres of that location. Approximate location is processed on the device and is not stored as a location history by TasTrack.

04

Completion Follow Ups and Replies

5 questions

How does Auto Close work?#

TasTrack monitors relevant sent emails and supported sent chats for reliable evidence that an open task has been completed, resolved, or cancelled. It uses linked contact identities and conversation context to associate the evidence with the correct task before moving it to Review for Closed.

What is the Review for Closed tab for?#

Review for Closed contains tasks that TasTrack believes are complete but that may still need your confirmation. You can inspect the task and return it to Open if more work is required. If you take no action for seven days, the task moves to Closed automatically and can still be reopened later.

How does TasTrack know when I need to follow up?#

TasTrack monitors open requests, commitments, waiting items, and conversations where an expected response has not arrived. It uses the task context, contact, deadline, and recent activity to determine when a follow-up may be needed. TasTrack can remind you and updates the task when a response is received.

Can TasTrack create personalized reply drafts?#

Yes. TasTrack uses the task, original source conversation, and your account-specific writing style profile to prepare a context-aware reply draft. You can review and edit the recipients, tone, facts, details, commitments, and attachments before sending. TasTrack does not send the reply automatically.

Does TasTrack send emails or messages automatically?#

No. TasTrack can prepare drafts, but you remain responsible for reviewing and sending them through the relevant application. TasTrack does not automatically send email, WhatsApp messages, Slack messages, Microsoft Teams messages, or calendar invitations on your behalf.

05

Gmail Labels and Connected Email

4 questions

How do TasTrack labels in Gmail work?#

When mailbox synchronization is enabled, TasTrack mirrors the linked task's current status onto the Gmail message. Supported labels include Priority, Due Today, Overdue, Follow-up, and Closed. The labels provide visibility inside Gmail, while TasTrack remains the main workspace for managing the task.

Can I remove a TasTrack label from an email in Gmail?#

Yes. You can remove the label manually in Gmail. Removing it does not delete the TasTrack task or change its status. If the linked task is updated later, TasTrack adds the appropriate label back during synchronization.

What happens when I disconnect my email?#

TasTrack stops collecting new content from that email connection. Existing tasks can remain in your account, but they no longer receive updates from the disconnected mailbox. Source preview may also become unavailable because TasTrack can no longer retrieve the original thread. Available account controls can be used to remove associated data.

How can I use TasTrack with Outlook when my company blocks the connection?#

If company policy blocks the standard Microsoft Graph connection or TasTrack is not an approved application, you can use the TasTrack Outlook Web browser extension. Sign in to Outlook Web, open the Inbox, and keep the supported browser session available while the extension scans permitted messages. The extension does not collect your password, cookies, or authentication tokens.

Available Integrations

5 questions

Which messaging integrations are currently available?#

TasTrack currently supports WhatsApp, Discord, Slack, and Microsoft Teams messaging. TasTrack uses these services as connected sources for task and follow-up detection and does not automatically send messages through them.

Which online meeting integrations are currently available?#

TasTrack currently supports Zoom and Microsoft Teams meetings. When an authorized transcript or other supported meeting content is available, TasTrack can prepare a summary and identify decisions, tasks, owners, dates, contacts, and follow-ups.

Which calendar integrations are currently available?#

TasTrack currently supports Google Calendar and Outlook Calendar. Smart Schedule can use connected availability when placing task blocks in the TasTrack overlay. When TasTrack extracts an event, you review and approve it before adding it to an external calendar.

07

Privacy and Security

5 questions

Are my emails and messages secure?#

TasTrack protects data using encryption in transit and at rest. It also uses access controls, least-privilege permissions, production-access restrictions, security monitoring, protected backups, and other safeguards. No security system can guarantee complete protection, so you should also protect your credentials and connected accounts.

Are my original emails saved on TasTrack servers?#

Complete original emails are not stored by default when TasTrack uses an authorized provider connection. TasTrack stores the structured information needed for the service, such as the resulting task, relevant metadata, source identifiers, and the subject when you use it as the task title. Temporary source retention may apply when an enabled feature requires it.

If the original email is not saved, how can I view it from TasTrack?#

When you select Preview Source, TasTrack retrieves the original email thread from the connected provider in real time. The preview may no longer be available if the email has been deleted, the provider connection has been removed, or TasTrack no longer has permission to retrieve it.

Do TasTrack employees read my emails or messages?#

TasTrack uses automated systems, and employees do not routinely read connected emails, messages, or meeting content. Limited human access may occur only for an authorized support request, a security or abuse investigation, a legal obligation, or service protection. Access is restricted by role and logged where supported.

08

Teams and Manager Dashboard

1 question

Does TasTrack offer a manager dashboard for tracking team task completion?#

Yes. Authorized managers can use the TasTrack dashboard to view team-level task activity, including completed and overdue work. They can review team totals, drill down by person or task category, and see the exact number of days a task is overdue. TasTrack does not create shared team tasks; each user's tasks are extracted and managed separately.

09

Plans and Subscription Changes

1 question

What happens when I downgrade my subscription plan?#

When you downgrade, TasTrack will ask you to select the connected accounts you want to keep based on the integration allowance of your new subscription plan. Any other connected accounts will be disconnected from TasTrack. Existing tasks from those accounts can remain in TasTrack, but they will no longer receive updates.
